How to manually create JIRA Webhooks for Shorter Loop

When Do You Need This Manual Setup?#

Important: Normally, webhook creation happens automatically when you set up the integration between Shorter Loop and external systems(Jira). However, manual setup is required in the following situations:
You are not a Jira administrator - Automatic webhook creation requires admin privileges
Two-way integration is not working - If you notice that changes in Jira aren't reflecting in your external system, follow this guide
Custom webhook configuration needed - When you need specific event filtering or custom endpoints
Troubleshooting integration issues - If the automatic setup failed or needs to be recreated
Note: In these cases, the webhook will be created in Shorter Loop automatically (You can find it under product integrations -> Webhooks), but not in Jira. This guide helps you complete the setup by manually creating the Jira side of the webhook connection.
If you find that your two-way integration is not happening as expected, this manual process will help you establish the proper webhook connection.

Manually Creating Webhooks in Jira#

This comprehensive guide will walk you through the process of manually creating webhooks in Jira to integrate with external systems and receive real-time notifications for issue-related events.

Overview#

Webhooks in Jira allow you to automatically send HTTP POST requests to external URLs when specific events occur in your Jira instance. This enables real-time Jira integration with Shorter Loop.

Prerequisites#

Administrative access to your Jira instance
A valid endpoint URL where webhook payloads will be sent
Understanding of the project(s) you want to monitor

Part 1: Creating Webhooks in Shorter Loop#

Step 1: Access Shorter Loop Webhook Settings#

Log In to Shorter Loop
Open your preferred web browser
Navigate to your Shorter Loop product integrations page.

Navigate to Webhooks
Once logged in, open your Product Settings
Navigate to: Products > Integrations > Webhooks

Note: If you don't see the "Integrations" or "Webhooks" section, your user role might be restricted. Only Super Admins have access to manage Webhooks. Please contact your workspace administrator to upgrade your access.

Step 2: Create a Webhook in Shorter Loop#

Create New Webhook
In the Webhooks section, click on the "Create Webhook" button
A popup titled "Create Webhook" will appear

Configure Webhook Details
Enter a Name for the webhook
This name is used internally to identify the webhook
Choose a descriptive name like "Jira Integration Webhook"

Step 3: Copy Your Webhook URL#

Retrieve Webhook URL
Once the webhook is created, you will see the Webhook URL listed under your newly created webhook entry
Click the "Copy" icon/button next to the URL to copy it to your clipboard
Save this URL - you'll need it for the Jira configuration in Part 2
Important: This URL should be added to your external service (Jira) that will send webhook events to Shorter Loop.

Part 2: Configuring Jira to Send Webhooks#

Step 1: Access Jira Administration#

Navigate to Jira Administration Console
Click the cog icon (⚙️) in the top right corner of your Jira interface
Select "System" from the dropdown menu

Step 2: Create a New Webhook in Jira#

Name: Provide a descriptive name for your webhook
Example: "Issue Events for YourProject"
Use clear, identifiable names for easy management
URL: Enter the Shorter Loop webhook URL you copied in Part 1
This must be the complete URL from your Shorter Loop webhook
Example: https://api.shorterloop.com/webhooks/your-webhook-id

Step 3: Configure Event Triggers#

Select Issue Related Events
Under the "Issue related events" section, select the appropriate checkboxes based on your needs:
✅ Issue created - Triggers when a new issue is created
✅ Issue updated - Triggers when an existing issue is modified
✅ Issue deleted - Triggers when an issue is deleted
Note: You can select additional events based on your specific requirements

Step 4: Set Project Filtering (Recommended)#

Configure JQL Filter
To restrict webhook notifications to specific projects, use the JQL filter field:
 project = "YourProject"

Step 5: Finalize Webhook Creation#

Review Configuration
Double-check the webhook name
Verify the Shorter Loop webhook URL is correct
Confirm selected events match your requirements
Validate JQL filter syntax if used
