Understanding Shorter Loop's User Hierarchy

Within a subscription, Shorter Loop follows a hierarchical structure:

Super Admin: The subscription owner - the first person who creates an account on Shorter Loop for individual or corporate use. Has maximum control over the subscription

Product Admin: Manages specific products within the subscription.

Team Admin: Manages teams working on specific products.

Editor: Can edit content within assigned products and teams.

Viewer: Has read-only access to assigned products and teams.

How to View and Manage Members

Accessing the Members List

Navigate to the Subscription Settings page by clicking on your profile icon in the top-right corner and selecting "Subscription Settings".

2. In the Subscription Summary section, click on "Users" to view all members in your subscription.

Viewing All Members

The members list displays all users within your subscription, ordered by the date they were added.

For each user, you'll see:

User's display name

Email address

Role (Super Admin, Product Admin, Team Admin, Editor, or Viewer)

Status (Active, Invited, or Deactivated)

Managing Existing Members

Editing User Roles

1. Hover over a user's row in the members list to see the role field become interactive.

2. Click on the current role to open the role selection dropdown.

3. Select the new role you want to assign to the user.

Managing User Status

Click the vertical ellipsis (⋮) icon on the right side of a user's row to see available actions.

Select one of the following options:

For Active Users: You can deactivate them, which prevents them from logging into Shorter Loop and accessing assigned products.

For Invited Users: You can resend the invitation or deactivate the invitation.

For Deactivated Users: You can reactivate them, which restores their previous access and sends them an email notification.

When deactivating a user, you'll need to confirm your action in the confirmation dialog.

Once confirmed, the user's status will update in the table.

Inviting New Members

1. Click the "Invite Member" button at the top of the members list.

2. This opens the "Invite new members" dialog:

3. In the invitation form:

Enter the email addresses of the people you want to invite in the provided fields

Select the appropriate role for each invitee from the dropdown (Editor is selected by default)

Click "+ ADD MEMBER" if you need to invite more than the default number of users

4. Once you've added all the necessary information, click the "Invite" button to send the invitations.

What Happens When You Invite Users

For existing subscription users: They'll gain access to the specified product(s) and receive an email notification about their new access.

For new users: They'll receive an invitation email to join Shorter Loop. Upon accepting, they'll be directed to the specific product(s) they've been invited to, rather than a default product.

Adding Members to Specific Products and Teams

Adding Members to a Product

Click on the product name to access the product settings.

Go to "Users" within the product.

Click "+Invite Member" to invite users to the product.

If the member is already part of your subscription:

They will be added to your product with an active status

No additional invitation is required

If the member is not yet part of your subscription:

They will receive an email invitation to join the product

They'll need to accept the invitation to gain access

Adding Members to a Team

The same process applies when adding members to teams:

Navigate to the team settings (Product -> Manage Teams)

Go to "Manage Users"

Click "+Add Member"

Select the appropriate role for the team member

Multi-level Roles

An important feature of Shorter Loop is that the same email address can have different roles at different levels.

This flexibility allows you to customize access permissions precisely according to your organizational needs.

Role permissions

Different roles have different permissions within Shorter Loop:

Super Admin: Can perform all actions within the subscription

Product Admin: Can manage products they're assigned to

Team Admin: Can manage teams they're assigned to

Editor: Can edit content within assigned products and teams

Viewer: Has read-only access to assigned products and teams

Best Practices for Member Management

Assign appropriate roles: Give users only the permissions they need to perform their tasks.

Regularly review user access: Periodically review your member list to ensure users have appropriate access levels.

Deactivate unused accounts: For security, deactivate accounts of users who no longer need access.

Use descriptive display names: Encourage users to set clear display names to make identification easier.

By effectively managing your team members in Shorter Loop, you can ensure smooth collaboration while maintaining appropriate access controls for your organization's data.
